With the client's permission, you can send email and/or text appointment reminders. This article will describe how to configure this feature for each client. It is assumed that the Practice has enabled this feature prior to configuring a client for the reminders. Click Here if those settings have not been done.
Configuring a Client's Reminders Settings
Each client needs to have their client information page configured for Email and/or Text Appointment Reminders. The following information will describe how to setup each client.
Text Reminder Settings
If you wish to send your client a text appointment reminder, there are two settings that must be done before that will happen. Enter the client’s mobile phone number (including area code). Next, change the drop down next to the client's number to Text Messages or Text and Voice Messages. Be sure to save your setting changes.
Email Reminder Settings
If you wish to have an email appointment reminder sent to a client, check the box next to Reminder Email(s) and add the person(s) email address(s) in the box that is highlighted below:
If the client requests that you sent the reminder to two different addresses, enter them both separated by a comma as shown. Be sure to save your setting changes.
Scheduling an Appointment
Here is the new appointment window. In this example, the patient is setup to receive both types of reminders (see highlighted area below). So is the Partner.
If the patient is setup for one but not both, only the appropriate check box will appear.
If none of the checkboxes are checked the client(s) will not receive any appointment reminders. To fix this, add information to the client's information page as shown above.
Text Appointment Reminder History
Any staff member who has access to a client's information page can click on the link to view a 30 day history of their text appointment reminders.
The status will be shown on the following page. The information is update every 2 minutes. If a circular symbol is present, you can click on that to do a manual refresh.
