You can upload documents into a patient’s chart and store them in the client’s Notes tab. Use this feature to store copies of pre-admission paperwork, HIPAA agreements, insurance cards, release of information and much more etc. You can store most popular file formats like doc, pdf, png, xls, etc.
Before you can upload a document or image you must save it to your computer in a location (i.e. desktop, documents folder, etc.) where you can find it.
If you have a printed paper copy you can scan the pages using your scanner if your printer is equipped with one. When you scan a document, save it as an Adobe Acrobat file (pdf). Please refer to the instructions that came with your printer to learn how to scan a document and save it.
Supported file types are: docx, doc, odt, png, jpg, jpeg, gif, and pdf.
Supported file size maximum is 20MB per file
Once you have a document or image file saved to your computer, login to TherapyMate and go to a patient’s chart by clicking on their name under the client tab. When you are on the client’s information page click on the Notes tab.
On the Notes page look down near the bottom and you’ll see a Documents area and over on the right a button called “Upload a File”.
Click on Upload a File.
Uploading a Single File
Locate the file you want to upload on your computer. Click the file name to choose the file you wish to upload. Click the Open button to start the upload.
The name of the selected file will appear next to the Choose Files button. The default event date will be today's date. If you need to specify a different date, enter it in the Event Date box. Changing the name of the file only affects the way it is labeled when saved. The name of the actual file will still show the original name.
Click the Upload button when your selections have been made.
There will be a blue progress bar that indicates that the file is being uploaded. When the upload is completed, you will be taken back to the client's Notes/Documents page where you will see the uploaded file near the bottom in the Documents area.
Uploading Multiple Files
Click on the Choose Files button
Navigate to the location where your files are located. Hold down the Command key on your Mac PC or Control key on your Windows PC on your keyboard and then click on the files you wish to upload. In the example below we have selected 4 files.
Click the Open button.
On the next screen you will see that 4 files have been chosen.
Click the Upload button to start the upload process. Each file will display a blue progress bar as it uploads.
When all all of the files are done uploading you'll be taken back to the client's Notes/Documents page. The newly uploaded files will appear at the bottom of the page in the Documents area as shown below:
If you ever need to access the document to view it, just click on it to open it.
FYI...documents that a client completes in the Client Portal are automatically saved in this same Documents area.
