This report is used to keep track of what the Practice owes their billing based on previously set settings. For example, the Biller may get a percentage of whatever they bill and collect for the Practice.
Billing Service Settings
The Billing Service Settings page must be configured before a report can be generated. This page is located on the Practice Settings page as shown below. The Practice settings are available to the System Administrator and Assistant Systems Administrator to configure.
Enter the name of the Billing Service company, the contact person, their phone number and email address.
Click on the Income Type dropdown and choose either Percentage (Gross) or Fixed Rate.
If you pay your biller by percentage, ener that number in the box as shown.
You have four options to determine what you'll pay the Billing service based on Payment Classes.
- Insurance Payments
- Client Payments
- Client Copayments
- Payment Towards Deductible
Check the boxes based on your agreement with the Billing Service.
For example, if you only want to pay the Billing Service for doing insurance billing and payments that they collect from insurance companies, but the Practice is responsible for collecting copayments, check the "Insurance Payment" checkbox. The report will only show insurance payments that are entered into TherapyMate and the amount that the Billing Service has earned.
If the Billing Service is responsible for all of these payment types, check the Client Copayments and Payment Towards Deductible checkboxes.
The other checkbox labeled Client Payments usually refers to client who do not have insurance and are paying for your services. If the biller is not involved in that effort, leave the box unchecked.
Click the blue button 'Update Billing service setting" when done.
Getting a report
Go to your main Billing tab on the blue menu bar and choose Billing Service Reports. The very first option in the dropdown is the report for your Billing Service.
The following staff members have access to these reports.
- System Admin
- Assistant System Admin
- Biller
- Clinical Director
The report can be created for each clinician at a time or all clinicians. Choose the date range you wish to view. Click the Search button to update the screen.
The report can be view on the screen, printed or exported to a CSV file as needed.
