Getting Invited to a Telehealth Session
Your counselor will send you an email invitation to join a Telehealth session prior to each appointment. The email will look similar to the following:
If you don't get the invitation in your inbox, check your junk or spam folder. If you still don't get it, check to make sure your counselor has the correct email address entered in your chart.
Joining a Session
To Join the session click on the words "Session Link" in the email. In most cases you'll be asked to allow the use of the camera and microphone on your computer. Please click allow.
Next, on the left side of the telehealth window, click the blue "Join meeting" button.
You will be joined to the session. If your counselor hasn't joined the meeting yet, please standby. When your counselor joins the session you should be able to hear and see your counselor and there will be a little window with your picture in it.
Please Note: If your audio or camera does not work, it is not the fault of the video service itself. It is most likely a setting on the device you're trying to use to join the session. You will be responsible for troubleshooting the issue and make the appropriate settings changes in your browser.
Control Panel
There is a control panel at the bottom of the video window that allows for additional settings and features. For the most part you shouldn't have to make any adjustments. The control panel could be hidden unless you place your mouse cursor down in the lower part of the screen.
Here is a description of the options under each icon moving from Left to Right
Microphone
Allows you to change you microphone to you internal computer or a headset. Same with speakers.
Camera
You can turn on a Virtual Background if needed. You can blur your background or pick a fake one.
Screen Sharing
The third icon from the left will allow you to share your computer screen. Please don't do this unless your counselor asks you to do so.
Chat
To create a chat window, click on the 4th icon from the left. A chat window will appear on the left side of the video window. Please don't do this unless your counselor asks you to do so.
Raise Hand
The 5th icon from the left allows a person to raise their hand or gain attention when they need to say something. This could be useful in a group session where everyone is talking, but not used normally for private one on one sessions.
Participants
Clicking on the 6th icon from the left shows how is in the session. There is also an option to invite someone to the sessions. Please don't do this unless your counselor asks you to do so.
Screen Views
The 7th icon from the left allows you to rearrange the view windows.
More Actions
the 8th icon from the left (three little dots) has some additional settings that you don't need to configure or change. For the most part, they have been set by your counselor prior to the call. Please don't make any changes unless instructed to do so. One exception to this might be enabling the Closed Capture or what we call Subtitles. Turing this on will help hearing impaired individuals to see and read the conversation in a text window.
Leaving the Session
The read telephone button will allow you to leave or exit the session.
Using a Mobile Phone
Using your cellular phone should work very similar to using a laptop or desktop computer. The video screens will be much smaller. You will not be required to download or use a special app.
