If you need to convert and existing client payment or partial payment and make it a credit you can do that from the client's payment page. This process is the save no matter what paymnt method was used to precess the payment initially.
Here is an example of a typical invoice that shows a patient charge of $120.00 and a payment for $120.
PLEASE NOTE: You will notice a refund button on the patient's payment line. This is only used to refund a full or partial payment to a client's credit card. You won't see this option unless the payment was taken using a patient's credit card. You can use this button to refund a partial or full credit card payment back to a client's credit card. Do not use the button with the intent to create a credit to the patient's account that you intend to use later for services. Using this button refunds back to the patient's credit card only.
The following instructions will show you how to create a credit.
Creating a Credit
Let's say that you found out the patient's deductible was finally met and they didn't owe $120. You can convert all or part of the previous payment to be used later as a credit.
To create a credit go to the patient's payment page.
In this example, we want to convert the $120 payment to a credit so it can be used later. Click on the edit icon (see the red arrow below).
In the edit view, you will see a boxes at the bottom (see below). The money can be reallocated in these boxes.
To make the entire amount a credit remove the $120.00 to the Invoice box and enter it in the Credit box. To credit a partial amount, change the invoice box to the new patient charge and move the excess funds to the credit box.
For example, If I wanted to still charge the client $50.00 but make the earlier payment that was taken and make it a $70.00 credit. I would allocate the money as shown below:
Click the update button when done.
Here is what the patient's payment page will look like now. It shows an available credit of $70.00. The invoice has $50.00 applied to it.
There is one last step to do on the invoice itself. The patient charge line needs to be updated to reflect the correct amount. If you don't do this the invoice will show an incorrect patient balance.
Go to the invoice and click the edit button. Manually change the patient chart to whatever it is suppose to be now. In this example we changed it from $120.00 to a positive $50.00.
Save the edited invoice.
